Gitback Reviews (“Gitback,” “we,” “us,” or “our”) operates the gitbackreviews.com website and the Gitback Reviews platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.

Information You Provide
When you create an account or use our services, we collect information you provide directly, including your name, email address, phone number, business name, business logo, and (where applicable for paid plans) payment information. Payment information, when collected, is processed and stored by our payment processor and is not stored on our servers.
Client Contact Information
As a Gitback Reviews subscriber, you may upload or enter contact information for your clients, including names, email addresses, and phone numbers. You represent that you have an existing business relationship with each client whose information you provide and that you have the right to share this information for the purpose of sending service-related communications.
Information Collected from Client Interactions
When your clients interact with messages sent through our platform, we collect satisfaction ratings (1–5 stars), written feedback submitted through our private feedback form, decline reason selections, and interaction data such as whether messages were delivered, opened, or clicked.
Information Collected Automatically
We automatically collect certain technical information when you use our platform, including IP addresses, browser type, device information, pages visited, and timestamps. We use this information to maintain and improve the platform.
How We Use Your Information
We use the information we collect to operate and maintain the Gitback Reviews platform, send SMS and email messages on your behalf to your clients, process satisfaction ratings and private feedback, generate retention analytics and dashboard reports for your business, process payments and manage your subscription (where applicable), communicate with you about your account and our services, and improve our platform and develop new features.
SMS and Email Communications
Gitback Reviews sends automated SMS and email messages to your clients on your behalf. These messages include review requests, satisfaction rating prompts, win-back communications, and follow-up reminders. Messages are sent only to contacts you have added to the platform. Messages identify your business by name. Recipients may opt out of SMS communications at any time by replying STOP, CANCEL, or UNSUBSCRIBE. Opt-out requests are honored immediately and automatically at the carrier level. No further messages will be sent to recipients who opt out. Message frequency varies by campaign type, with a maximum of 4 messages per campaign. Message and data rates may apply to recipients.
Third-Party Service Providers
We use the following third-party services to operate the platform:
- Twilio: SMS message delivery and status tracking.
- SendGrid (Twilio): Email message delivery and status tracking.
- Stripe: Payment processing and subscription management for paid plans. Stripe’s privacy policy governs the handling of your payment information.
- Auth0 (Okta): User authentication and account security.
- Outscraper: Google review data retrieval for display in your dashboard.
- Render: Application hosting and database services.
These providers process data on our behalf and are contractually obligated to protect your information.
Data Retention
We retain your account and business data for as long as your account is active. Client contact information, campaign data, feedback, and review data are retained for the duration of your subscription. If you cancel your subscription, we retain your data for 30 days to allow for reactivation. After 30 days, account data is permanently deleted. You may request deletion of your data at any time by contacting us at support@gitbackreviews.com.
Data Security
We implement reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. All data is transmitted over HTTPS. Database access is restricted to authorized services. Authentication is managed by Auth0 with industry-standard security practices. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
Your Rights
You may access, update, or delete your account information at any time through your account settings. You may request a copy of all data associated with your account by contacting us at support@gitbackreviews.com. You may request deletion of your account and all associated data at any time. If you are located in California, the European Union, or another jurisdiction with applicable data protection laws, you may have additional rights under those laws.
Children’s Privacy
Gitback Reviews is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the “Last Updated” date. Your continued use of the platform after changes are posted constitutes acceptance of the revised policy.
